Please read these terms carefully. They govern your use of the Chart Hound AI veterinary scribing platform.

1. Acceptance of Terms
By creating an account, accessing, or using Charthound.ai (the "Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.
These Terms constitute a legally binding agreement between you ("User" or "Veterinary Professional") and Strategic Journey Partners LLC ("Company," "we," or "us").
Updates to Terms
We reserve the right to modify these terms at any time. We will notify you of significant changes via email or a prominent notice on the Dashboard. Continued use of the Service constitutes acceptance of modified terms.
2. Medical & AI Disclaimer
CRITICAL NOTICE: NOT A SUBSTITUTE FOR JUDGMENT
The Service is an automated documentation aid utilizing Artificial Intelligence. It is NOT a substitute for professional veterinary medical judgment, diagnosis, or treatment.
- Review Required: You acknowledge that AI-generated transcripts and notes may contain errors, hallucinations, or inaccuracies. You are solely responsible for reviewing, editing, and verifying all outputs before entering them into any permanent medical record or Patient Information Management System (PIMS).
- Professional Use Only: The Service is intended for use solely by licensed veterinary professionals.
- No Warranty: We do not warrant that the outputs will be 100% accurate, complete, or compliant with specific legal documentation standards in your jurisdiction without your review.
3. Accounts & Security
Eligibility: You must be at least 18 years old and a veterinary professional to use this Service. We do not knowingly serve children under 13.
Account Security: You are responsible for maintaining the confidentiality of your login credentials. You are responsible for all activities that occur under your account.
Prohibited Actions: You may not:
- Share your account credentials with multiple users (unless on a Team Plan).
- Reverse engineer the Service.
- Upload audio containing Human medical data (HIPAA sensitive) or illicit content.
4. Data Rights & Retention
You Own Your Data
You retain all rights, title, and interest in your audio inputs and the final medical records you create.
Our License
You grant us a limited license to process your data solely to provide the scribing service.
7-Day Retention Policy: To protect client confidentiality, we delete generated transcripts and notes from our servers 7 days after generation. It is your responsibility to copy these notes into your PIMS within that timeframe.
5. Fees & Payment
Subscriptions: Certain features require a paid subscription. Fees are billed in advance on a monthly or annual basis.
Cancellations: You may cancel your subscription at any time via the Dashboard. Access will continue until the end of the current billing cycle.
Payment Processing: We use third-party payment processors (to be determined). We do not store full credit card details on our servers.
6. Liability & Governing Law
Limitation of Liability: To the maximum extent permitted by law, Strategic Journey Partners LLC shall not be liable for any indirect, incidental, or consequential damages (including loss of data or professional liability claims) arising from your use of the Service.
Indemnification: You agree to indemnify and hold harmless Strategic Journey Partners LLC from any claims arising out of your misuse of the Service or your failure to review medical documentation.
Governing Law: These Terms are governed by the laws of the State of North Carolina. Any disputes shall be resolved in the courts located in Lincoln County, NC.
