We respect your right to control your data. You can request complete deletion of your Chart Hound account and all associated data at any time.
How to Delete Your Account
Send a Deletion Request
Email us at support@charthound.ai with the subject line "Account Deletion Request". Include the email address associated with your account.
Identity Verification
We will verify your identity by confirming you have access to the email address on file. This prevents unauthorized deletion requests.
Account & Data Deletion
Upon verification, we will permanently delete your account and all associated data within 7 business days. You will receive a confirmation email when the process is complete.
What Data Is Deleted
Permanently Deleted
- ✕ Your account profile (name, email)
- ✕ Audio recordings and transcriptions
- ✕ Generated SOAP notes and reports
- ✕ Dental chart data
- ✕ Authentication tokens and credentials
- ✕ Usage history and session logs
Retained (If Applicable)
- • Anonymized, aggregated analytics data (cannot identify you)
- • Records required by law or regulatory obligations (up to the legally mandated retention period)
- • Billing records for completed transactions (retained for tax/accounting purposes for up to 7 years)
Data Retention Timeline
Audio recordings: Processed in real-time; raw audio is not retained after transcription.
Account data: Deleted within 7 business days of a verified deletion request.
Backups: Purged from backup systems within 30 days of account deletion.
